How a Three-Depot Sydney Plumbing Business Could Run One Phone System

Three depots, twelve technicians on the road, three separate phone lines, and customer numbers living on staff mobiles. Here is how Click2Call could pull it into one system, with what it would cost.

This is a worked example, not a customer story. The business is typical rather than real, the setup uses real Click2Call features, and the prices are current. There are no invented results. Last reviewed: October 2026.

The situation

Picture a plumbing business with depots in the inner west, on the northern beaches and in the south-west of Sydney, twelve field technicians and four office staff. Each depot has its own phone line and its own voicemail.

When a customer calls the wrong depot, the call can't be passed across, so someone takes a number and rings back. Technicians give customers their personal mobile numbers, and when a technician leaves, those customers leave with them. Nobody can see how many calls are being missed.

How it would be set up

Everything below is a standard Click2Call setting, done in the portal or by our team with managed setup.

  • One account, three depots. Each depot keeps its local 02 number, ported in ($100 inc GST each). All three sit on the same system.
  • Calls find the nearest depot. A main number can use Geo Routing, which asks callers for their suburb or postcode and connects them to the closest depot. A simple menu works too.
  • The office answers for every depot. The four office staff answer each depot's calls in ring groups and can transfer a call to any depot or technician by extension, with no second phone call.
  • Technicians use the business number. Each technician has the Secure VoIP app on their own mobile, so customers see the business number when they call back. For dependable incoming calls on the road, calls can also be forwarded to their mobile number.
  • The numbers stay with the business. When a technician leaves, their line is reassigned in the portal, and customers who saved it still reach the business.
  • Emergencies get through after hours. Business hours switch the depot numbers at night: callers can press 1 for an emergency, which rings the on-call technician, and everyone else goes to the Answer Agent, which takes their name, number, suburb and the job.
  • The office works inside simPRO. simPRO Premium's built-in softphone connects to Click2Call, so the office can make and take calls with the caller matched to the customer card.

What it would cost

ItemCost
16 Cloud PBX users: 12 technicians and 4 office staff$400 a month
3 depot numbers, ported, as receive-only lines$30 a month
Monthly total$430 ex GST ($473 inc GST)
Porting the three depot numbers$300 inc GST, once
Managed setup (optional): $300 for 3 users plus $50 for each of the other 13$950 ex GST, once

No hardware is needed: technicians use their own mobiles and the office can use softphones. The AI tools and call recording are included at no extra cost. Each user includes 300 outbound minutes; calls forwarded to a mobile count as outbound and use them first. There is no lock-in contract.

What changes, and what doesn't

Calls can move between depots and technicians in seconds, customers see one business rather than a collection of mobiles, and after-hours emergencies still reach whoever is on call.

Whether it costs less than three separate phone services depends on what the business pays today, so we haven't claimed a saving. The quote builder on the pricing page prices any combination of users and numbers.

Before you set it up

  • Every account starts with two call channels plus one for each user's number, so 16 users can be on 18 calls at once.
  • Check each depot's internet: a steady connection matters more than a fast one.
  • Forwarded calls use the forwarding line's minutes, so a busy on-call roster uses them faster. Keep an eye on usage in the first month.
  • In simPRO, use port 5060 for the server address, not 5061.
