Key Takeaways

  • ✓02 numbers for Sydney and Canberra. New South Wales and the ACT share the 02 area code. Pick a new number or bring your existing one across.
  • ✓One system for every site. Staff in the CBD, in Parramatta or at home sit on the same phone system and reach each other by extension.
  • ✓Support on Sydney time. Our team answers Monday to Friday, 10 am to 6 pm Sydney time during daylight saving and 9 to 5 the rest of the year.
  • ✓Your number moves when you do. Changing offices doesn't mean changing numbers or waiting for a line transfer.
  • ✓$25 a user a month ex GST. Includes a local number, 300 outbound minutes and unlimited inbound calls to it, with no lock-in.

What a cloud phone system means for a Sydney business

A cloud phone system, often called VoIP or a hosted PBX, moves the switchboard out of your comms cupboard and onto the internet. Your phones, laptops and mobiles connect to Click2Call over whatever internet connection you have, and everything from call routing to voicemail is managed in a web portal.

For a Sydney business, the practical upshot is flexibility. The phone system doesn't care whether your team sits in a Barangaroo tower, a warehouse in Alexandria or a spare room in Penrith. A call to your 02 number can ring all of them, and whoever answers can transfer it to anyone else on the system.

There's no box to buy and nothing to install on site. You can set it up yourself in the portal, or have our team configure it for you.

Sydney numbers: keep yours or choose a new 02

Sydney numbers start with 02, the area code shared by New South Wales and the ACT. Every user plan includes a local number, so when you sign up you can simply choose one. If your business already has a number that customers know, port it across instead.

Porting a local number costs $100 inc GST and usually takes 5–10 business days. 1300 and 1800 numbers can take up to 30 days. Your number keeps working with your current provider until the moment it moves, so the right order is: set up Click2Call, request the port, wait for confirmation, and only then close the old account.

Want a presence outside Sydney as well? You can add local numbers for other cities, such as an 03 for Melbourne clients, each as a $10 receive-only line that rings the same team.

One phone system across several Sydney sites

Sydney's size means plenty of businesses run more than one location: a city office and a western Sydney warehouse, say, or practices on the North Shore and in the Sutherland Shire. Traditionally each site had its own phone system, and passing a caller between them meant a second phone call.

On Click2Call, every site is part of one system.

  • ✓Extensions dial each other directly, whichever site they're at
  • ✓A menu, or the AI Receptionist, sends callers to the right location when they say its name
  • ✓Ring groups and hunt groups can include people from several sites
  • ✓Each site can present its own local number on outbound calls
  • ✓Hot desking lets staff log in to any desk phone by dialling *45, which suits shared desks

The live Call Dashboard shows activity across every site in one view, which helps when one location is swamped and another is quiet.

A call flow for a Sydney professional services firm

Here's how a six-person accounting or law practice might set up its main 02 number. Each step is a setting in the portal, and any of it can be changed later.

  1. 1Greeting. A short welcome, typed in and read by AI Speech if you'd rather not record it yourself.
  2. 2Menu. Press 1 for new enquiries, 2 for existing clients, 3 for accounts. Or use the AI Receptionist, so callers simply say what they need.
  3. 3New enquiries ring both partners at once. If neither answers, the caller leaves a voicemail, which arrives by email with a transcript.
  4. 4Existing clients go to a call queue for the client services team, and callers are told their position while they wait.
  5. 5Accounts go straight to the bookkeeper's direct line, with the Answer Agent taking a message when they're away from their desk.
  6. 6After hours, the menu is replaced by a message with your opening hours, and callers can leave a voicemail.

Each staff member also has a direct 02 number, so regular clients can skip the menu entirely. Outbound calls can show either the main number or the person's direct line, set extension by extension.

Daylight saving and our support hours

New South Wales moves its clocks forward in October and back in April. Queensland, where Click2Call is run, doesn't. Our support line, 1300 884 879, is open Monday to Friday from 9 am to 5 pm Queensland time, which works out like this:

Time of yearSupport hours in Sydney
October to April (daylight saving)10 am to 6 pm
April to October9 am to 5 pm

Your own opening hours are set in the portal. Once they're in, calls switch to your after-hours plan each evening and back again each morning, and public holidays can be added by date.

Hybrid teams and working from home

Long commutes are one reason so many Sydney businesses settled into hybrid work. A cloud phone system makes the office number portable: staff take calls in the Secure VoIP app on their mobile, on a softphone on their laptop, or on a desk phone at home that works exactly like the one in the office.

Outbound calls show the business number, not the employee's mobile, and every call lands in the same call records whether it was made from the office or the kitchen table.

For incoming calls when staff are out and about, forwarding to their mobile number is the most dependable option, because it doesn't rely on an app staying active in the background. Forwarded calls are billed as outbound calls from the line that forwards them.

Microsoft Teams calling for Sydney offices

If your team already lives in Microsoft Teams, you can make and take phone calls there instead of in a separate app. Click2Call connects to Teams through Direct Routing and gives each Teams user an Australian number.

Each user needs a Microsoft Teams Phone Standard licence, about $15 a month from Microsoft, plus the Click2Call Teams User plan at $25 a month ex GST. Setting it up yourself with our guide is free; managed setup is $55 inc GST per user. Calls can be recorded on the Click2Call side without a Microsoft recording licence.

Telstra Calling for Office 365 is withdrawn from 30 November 2026, so if your Teams calls run through it today, now is the time to plan the move.

Moving office without changing your number

With a traditional line, moving premises meant booking a transfer, waiting, and hoping the number came too. A cloud number isn't tied to a building. When you move from Surry Hills to Alexandria, or from a serviced office into your own lease, you plug the phones in at the new address, or just open the app, and calls carry on.

The same goes for temporary moves, like working from a pop-up site or a client's office for a few weeks. With an internet connection, the phones behave exactly the same way.

Before a move, check that the new office has a solid business internet connection and that its router doesn't interfere with voice traffic. Our help centre explains SIP ALG and one-way audio, the most common cause of call problems on a new connection.
